### Summary
**Tour of Duty:** The Providence VA Medical Center is an acute care facility operating 24 hours a day 7 days a week. While most tours of duty are scheduled during the day, the possibility of working evenings, nights and weekends does exist. Shift changes will be considered based on patient and facility needs.
Serves as a Supervisory Medical Support Assistant (SMSA) at the Providence VA Medical Center. The SMSA may occasionally be required to work tours other than their regular tour to include Saturdays.
The incumbent supervises and, when necessary, performs duties related to outpatient clinic access and has oversight of MSAs and Advanced MSAs (AMSA) actions related to scheduling, consult review, encounter completion and overall clinic operations. The incumbent will provide department specific hands on training of new hires and assist the Group Practice Manager (GPM) in the roll out of new clinic operation requirements and directives as well as perform scheduling audits. In addition, the incumbent will provide and review various encounter, access, and wait list reports and address clinic specific issues on a daily, weekly and/or monthly basis. The incumbent will ensure adequate coverage of all clinical areas under his/her purview. The incumbent will demonstrate skill with Vista and Vista Scheduling Enhancements (VSE) applications and various other computer programs supporting administrative infrastructure.
The incumbent is required to perform the full scope of duties of an AMSA as he/she must be able to provide coverage during high volume clinic times and during shortages.

* Takes full administrative and professional responsibility for planning and directing the activities of the MSAs and AMSAs.
* Extracts and analyzes data in order to provide reports in support of performance measures to senior management.

### Qualifications
***Basic Requirements***:
* **Experience**: Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or
* **Education**: One year above high school; or
* **Experience/Education Combination**: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
* **Substitution of Education**: There is no educational substitution for the GS-8 level.
**Grade Determinations:
Experience:** One year of experience equivalent to the next lower grade level.
**Demonstrated Knowledge, Skills, and Abilities:** Candidates must demonstrate the KSAs below:
* Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
* Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations.
* Ability to provide briefings, orientations, staff development, and training.
* Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.

**Assignment:** Supervisory MSAs plan and direct programs at medical centers and/or satellite outpatient clinics and have full supervisory responsibility. Assignments at this level include, but are not limited to: assigning and evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems in order to make recommendations for improved operations; identifying educational or training needs; making final decisions on selections; evaluating performance, and taking disciplinary action when necessary. The employee has full administrative and professional responsibility for planning and directing the MSA's activities. Responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time.
**Preferred Experience:**
A minimum of one year of supervisory experience.
In-depth knowledge of Clinical Practice Management (CPM) dashboard, version 2.0 and VHA Support Service Center (VSSC).
Proficient at performing scheduling audits.
Knowledgeable in performance improvement tools and processes.
The full performance level of this vacancy is GS-8.
**Supervisory Position**: Selectee will be required to serve a one-year probationary period for supervisors if not previously served.
**Physical Requirements:**This position requires long periods of sitting, standing, and moving throughout the facility to monitor staff in various locations. The incumbent may be required to lift boxes and/or equipment up to 45 lbs.
